IAC Conference 2024 | Terms and Conditions

Cancellation Policy

We appreciate that registrants may have to cancel their registrations due to unforeseen circumstances. All cancellations, without exception, must be made in writing to: events@iac-irtac.org. Refunds will be as follows: 

• Notification in writing 60 or more days prior to the event: A 75% refund of the Conference registration fees.
• Notification in writing 30 – 60 days prior to the event: 50% refund of the Conference registration fees.
• Notification less than 30 days prior to the event: No Refund If you have extenuating circumstances, please email:  events@iac-irtac.organd requests will be evaluated on a case-by-case basis.

If you cancel or change your registration in accordance with these terms and are allowed a refund, IAC will refund any applicable fees within sixty (60) days after receipt of the cancellation or change notice. Refunds are sent using the same payment method you used during registration. Credit card refunds must be issued to the original credit card.

No Shows

Please Note: If you do not attend the IAC Conference and did not cancel or change your registration but have paid your registration fee, you will not be refunded.

Attendee Substitution

Requests for attendee substitutions must be made in writing by the original registrant to: events@iac-irtac.org  Please note that if the request is permitted/met, there will be a €50 processing fee for any substitution.

Student/Retired Member Discount

To qualify for the Student/Retired discount, proof of your student/retired standing will be required during IAC conference registration check-in. Students must also be at least 18 years old at the time of attendance. Failure to produce proof of student/retired status will result in a charge of the full conference ticket registration fee.

Visa Requirements / Invitation Letters 

It is the sole responsibility of attendees to take care of their visa requirements. If you require an entry visa, you must allow sufficient time for the visa application procedure. Your registration details may be shared by IAC with the immigration authorities to assist in the process. However, IAC will not contact embassies and consulates on your behalf. To receive an invitation letter for the IAC conference, you must first register and pay the registration fees in full. You will have the option to request an invitation letter during the registration process. Also note that invitation letters will only be issued to those who have paid for conference tickets, and to exhibitors. If you are not granted a visa, your registration fees or exhibitor fees will be reimbursed (less a € 50,00 administrative fee) only if you provide events@iac-irtac.org  with an official document from immigration authorities, showing the visa rejection and that the application was made at least one month (no later than May 28th 2024) before the IAC Conference.

Of the IAC conference content is strictly prohibited unless you have obtained express written consent from IAC.

Conference Content Disclaimer

The views expressed by any IAC Conference attendee, speaker, exhibitor, or sponsor are not necessarily those of IAC. All IAC conference attendees, speakers, exhibitors, and sponsors are solely responsible for the content of any and all individual or presentations, marketing materials, advertising, and online web content.

Force Majeure

IAC shall not be held responsible for any delay or failure in performance of its obligations hereunder to the extent such delay or failure is caused by fire, flood, strike, civil, governmental, or military authority, acts of God, acts of terrorism, acts of war, pandemic, contagions, health crises, travel restrictions, epidemics, the availability of the venue, or other similar causes beyond its reasonable control and without the fault or negligence of IAC or its subcontractors such as power grid failures, internet outages, cyber warfare, cyber-attacks, ransomware attacks, cyber sabotage, sabotage or piracy.

IAC does not accept any liability on account of unavailability, interruptions, errors, or viruses, or harmful components. For one or more of such reasons, IAC may postpone, reschedule, or cancel an IAC conference without liability on the part of IAC.

In the event an IAC conference cannot be held or is postponed pursuant to this section, IAC shall not be liable to attendees for any damages, costs, or losses incurred, such as transportation costs, accommodations costs, or financial losses.

The IAC conference organizers will review refund and/or fee transfer requests, submitted in writing, for approval on a situational basis.  Any such refunds will carry an administrative charge of € 40,00.
